Marketing Specialist-Trade Show & Events

Our Opening and Your Responsibilities
Responsible for managing domestic trade shows and events for the Product Inspection Division and supporting Demonstration Bus Program. The successful candidate will have strong knowledge of industry best practices and be skilled at communication and project management. The person in this role will have a dotted line reporting to the Marketing Operations Manager for the Demonstration Bus program. What you will do
  • Assist the Marketing Communications Manager with planning and executing trade shows, conferences, and events ranging from 10x10 booths to cross-divisional exhibits up to 5,500 sq. ft.
  • Coordinate all event logistics, including booth space reservations, directory listings, online promotions, and timely placement of vendor orders to meet discount deadlines
  • Manage attendee coordination, including registration, hotel room blocks or recommendations, meeting room setup, and booth staffing schedules
  • Identify and manage installation and dismantle (I&D) teams; support on-site setup, staffing, and teardown as needed
  • Partner cross-functionally with internal teams and external vendors (graphic designers, exhibit houses, printers, and leadership) to deliver events aligned with business objectives and budgets
  • Collaborate with product line managers to identify equipment and demo needs; ensure all materials and deliverables are completed on schedule
  • Support development of event themes and integrated marketing campaigns with the Marketing Communications Manager
  • Coordinate creation of booth layouts, exhibit graphics, signage, videos, demo products, and supporting materials
  • Develop and distribute detailed event communication packages to attendees and stakeholders
  • Work with leadership to define lead generation goals; manage on-site lead capture, track performance against targets, and route leads to the processing team
  • Plan and execute company-hosted events, including venue selection, space booking, transportation, catering, décor, giveaways, signage, badges, and full event setup/teardown
  • Support the Demonstration Bus Program, including project management of annual updates (equipment retrofits, literature, videos, giveaways)
  • Manage operational requirements for the demo bus, including annual registration (plates/tags), insurance documentation, scheduling, and Canadian border crossing paperwork
  • Coordinate with sales teams to schedule customer visits, build appointment calendars, distribute marketing communications, and send follow-up surveys
  • Partner with Service Dispatch to schedule technicians for demo bus maintenance and repairs
  • Ensure compliance with regulatory requirements, including coordination with Radiation Safety for state regulations
  • Maintain trade memberships and directory listings
  • Manage marketing asset inventory, including warehouse organization (6S standards), shipping/receiving, and promotional item sourcing, ordering, and storage
  • Perform other related duties as needed




What You Need to Succeed
  • BA or BS Degree in Marketing, Business Administration, Communications, or related field preferred
  • 5+ years of experience tradeshow coordination
  • Keen attention to detail
  • Excellent project management skills
  • Ability to influence others in cross functional positions to provide deliverables by deadlines 
  • Excels at written and verbal communication and follow up with colleagues 
  • Ability to work in a fast-paced environment and with multiple projects, maintain schedules and meet deadlines 
  • Ability to take direction from management and work autonomously and/or on a team
  • Ability to travel approximately 4-6x per year
