Senior Order Management Specialist
Location Lutz, Floride Date de publication January 15, 2025 ID de l'offre 18469- As Power user: Review and respond or escalate IT tickets submitted by Order Entry and perform any UAT testing to ensure new processes are working as designed, prepare and facilitate training on new processes.
- Ensure all orders (parts, new equipment, rentals to sale, buyouts, trade show, etc.), order change requests and cancellations are received and processed in an accurate and timely manner following established SOPs, job aids and best practices, while maintaining applicable ISO & Sarbanes-Oxley compliances
- Support the continuous growth of the rental department by working closely with Capital Equipment Manager
- Meet the establish turn times on orders and quality metrics
- Determine accurate ship and delivery dates based on system-generated commitment dates, available inventory, product lead-time, carrier routing calculations, and customer delivery and method of shipment requests for all items ordered.
- Ensure the order acceptance, acknowledgement, and drawings are handled accurately and expeditiously
- Coordinate with service team on rental/demo orders to coordinate service techs for rental orders
- Act as Buddy for all New Hires
- Handle any billing disputes to resolution within the designated time, including correcting the billing and communicating to AR and the customer
- Act as back up for other areas such as Rental, invoicing, New Order inbox
- Assist with reporting including analyzing and taking action to resolve.
- Work closely with internal departments to ensure delivery commitment dates are achieved and a high level of customer satisfaction is maintained:
- Order status, requests to expedite/prioritize orders, special shipping instructions, credit issues, pricing discrepancies, product availability
- Proactively analyze and follow up on unshipped customer orders
- Resolve shipment issues due to incorrect, missing, and/or damaged product
- Ensure order management housekeeping reports are reviewed daily and proper action is taken to resolve order issues (Reports: open order, blocked orders, incomplete orders, orders in error, etc.)
- Controlling Invoicing
- Issue accurate deposits and milestone invoices throughout the order.
- Understand special terms and revenue recognition requirements.
- Ensure accurate invoice aging.
- Collaborate with the account receivable department, Channel Partners, RSMs and customers to resolve payment disputes.
- Follow the customer's requirements for invoicing.
- Other duties as required or assigned. It is required to work longer hours on month end until all the orders are booked, and the month is closed. Sometimes, the month end may fall on a weekend or holiday, and we may need to work on Saturday or the holiday. In addition, there is no time off the last 3 days of the month due to month end activities.
- Bachelors Degree preferred. High School Diploma or GED Required.
- 3+ years experience working in a customer service role or sales support role
- 1+ years' experience as Order Management Specialist meeting all metrics
- High degree of initiative and ownership
- Multi-Task
- Attention to detail for both accuracy and content
- Good Communication skills.
- Very good knowledge of Microsoft Office Suite is required. SAP knowledge is desired.
