HR Operations Specialist with German (all genders)

Our Opening and Your Responsibilities
We have an exciting opportunity for a German-speaking professional to join our team in Warsaw as an HR Operation Specialist. 

Your responsibilities: 
  • Support the effective operation of centralized HR administration throughout the full employee lifecycle*✍️
  • Ensure accurate employee data in HR systems and assist with mass data updates and special projects. 
  • Prepare and manage employment documents per country requirements using electronic systems. 
  • Complete transactions accurately, following operational manuals, SLAs, and payroll deadlines. 
  • Act as a super user for HR systems, provide first-level support, and prepare systems for key HR processes. 
  • Handle employee queries and requests, and build and maintain a knowledge base to improve support. 
  • Create custom data reports, analyze data, and summarize feedback for stakeholders. 
  • Collaborate with HR SSC colleagues to ensure consistent service standards. ✔️
  • Perform other tasks and support team projects as assigned. 
  • Continuous Improvement :
    • Identify and implement process improvements to enhance employee experience and service quality.
    • Explore automation and system enhancements to maximize HR technology benefits.
    • Maintain and update SOPs and knowledge base to support ongoing service development. 
*Full employee lifecycle including: hiring new joiners into the HR system, providing a positive pre-boarding experience, timely processing of changes to existing employment contracts including promotion/salary changes, etc., all the way to supporting separations, annual merit increase, training events, performance management.
What You Need to Succeed
  • At least 2 years of proven experience in HR administration within a centralized HR operating model for the German or Swiss market,
  • Proficiency in business German and English at a C1 level,
  • Experience using cloud-based HRIS systems such as Workday, SuccessFactors,
  • Practical knowledge of the MS 365 suite, and advance Microsoft Office skills (in particular excel),
  • Proactive, solution-focused, with excellent time management and organizational skills.
  • Very good communication skills as well as customer focused mindset,
  • Tech-savvy, eager to explore systems and AI, with strong continuous improvement mindset.

The recruitment process consists of the following steps:
  • CV selection – we contact selected candidates
  • Phone screening with a recruiter (approx. 15 min)
  • Initial interview with the Manager (video conference, approx. 1 hour)
  • A 30-minute video conference (if needed, to be confirmed), followed by a decision on candidate selection and the offer.
